This policy summarises how refunds and cancellations are handled for Luxury Thailand Tour bookings. It should be read together with our Booking Terms, your quote, invoice, proposal, travel documents and the terms of the relevant suppliers.
Luxury Thailand Tour is operated by Travel Asia Limited, New Zealand.
1. Travel bookings are supplier-dependent
Tailor-made travel usually involves several suppliers, such as airlines, hotels, resorts, cruise or boat operators, transfer companies, local guides, activity providers and destination management companies.
Each supplier may have its own cancellation, change, refund, credit, expiry and no-show rules. These rules can vary by season, fare type, room category, date, supplier and payment stage.
2. Before you confirm
Before confirming a booking, we will aim to provide the key payment, deposit and cancellation information available to us. Some supplier terms are detailed and may be provided separately or by link.
You should ask questions before paying a deposit if any cancellation, change or refund term is unclear.
3. Change-of-mind cancellations
If you cancel because you change your mind, can no longer travel, miss a flight, arrive late, choose not to travel, or no longer want the arrangement, refunds will depend on:
- supplier terms;
- fare rules;
- whether the service is refundable or non-refundable;
- how close cancellation is to travel;
- our service, planning, booking or cancellation fees;
- costs already incurred or paid to suppliers;
- any rights you have under applicable law.
Non-refundable components may include airfares, special promotional hotel rates, villas, cruises, private charters, permits, guide fees, event tickets, deposits and bespoke arrangements.
4. Cancellation by suppliers
If a supplier cancels a service, the available remedy will usually depend on the supplier’s terms, applicable law and the cause of cancellation.
Possible outcomes may include:
- alternative arrangements;
- rebooking;
- travel credit;
- partial refund;
- full refund;
- no refund where supplier terms and applicable law allow that result.
We will assist you in dealing with the supplier where appropriate, but we cannot guarantee a supplier’s decision, timeframe or remedy.
5. Cancellations caused by events outside anyone’s control
Events such as severe weather, natural disasters, border restrictions, pandemics, strikes, civil unrest, government action, supplier insolvency, flight disruption, safety issues or other extraordinary circumstances may affect travel.
In these cases, refunds, credits or alternative arrangements depend on supplier terms, applicable law, insurance cover and the specific circumstances.
6. Our fees
Service, planning, booking, research, change, cancellation or flight-management fees may be charged separately from supplier costs. These fees cover our professional time and work.
Fees are generally non-refundable once the relevant service has been performed, subject to consumer rights that cannot lawfully be excluded.
7. Refund timing
If a refund is available and supplier funds have already been paid to a supplier, we can only pass on the refund after the supplier authorises and provides the funds or credit to us.
Supplier refunds can take several weeks or longer. Airline, hotel, cruise and overseas supplier processing times are outside our direct control.
Where funds are held by us and a refund is due, we will process it within a reasonable time after any applicable deductions and checks.
8. Travel credits
Some suppliers may offer travel credits instead of cash refunds. Credits may have conditions such as:
- expiry dates;
- name restrictions;
- route or supplier restrictions;
- fare or rate differences;
- blackout dates;
- service fees;
- limited transferability.
It is your responsibility to use credits before expiry. We can assist where possible but cannot guarantee extension or acceptance by suppliers.
9. Insurance
Travel insurance may cover some cancellation, disruption, medical, baggage or delay costs that are not refundable by suppliers. You should review your policy wording and contact your insurer as soon as an issue arises.
We strongly recommend arranging comprehensive travel insurance soon after booking.
10. Flights
Airfares can have strict cancellation and change rules. Some fares are non-refundable or can only be refunded as tax components. Some fares require immediate ticketing. Fare rules and airline conditions of carriage apply.
If an airline delays or cancels a flight, your rights may depend on the country, route, airline, fare rules, cause of disruption and applicable law.
11. How to cancel or request a refund

12. Your consumer rights
Nothing in this policy excludes, restricts or modifies rights that cannot lawfully be excluded under the Consumer Guarantees Act, Fair Trading Act, Australian Consumer Law or other applicable consumer laws.
